When to Send Party Invitations, by Event

Send an invitation too early and guests forget it. Send it too late and their weekend is already taken. The right window depends on three things: how formal the event is, whether anyone has to travel, and how crowded the season is. The list below gives the send window and the reply date for each kind of party, and the sections after it explain the reasoning and the exceptions.

Send windows and RSVP dates at a glance

Each line reads the same way: when to send, then when to ask for replies, both counted back from the party.

The three things that move the window

Kids' birthdays and first birthdays

Families plan their weekends a few weeks out, and school-age kids often have several parties in the same month. Three to four weeks gives parents time to answer without giving them time to forget. If the party lands on a holiday weekend or in a school break, use the full four.

A first birthday follows the same clock with a different guest list. Grandparents, aunts and uncles may need to book travel, so call or text them the date the day you choose it. Everyone gets the invitation in the normal window.

Baby showers and sprinkles

Shower guests shop for a gift and some come from out of town, which is why the window stretches to six weeks. The host needs replies one to two weeks ahead to plan food and seating. A sprinkle is smaller and more casual, so a month is plenty.

For a surprise shower, send at the early end. The extra time is for reminding guests, more than once, to keep quiet.

Holiday season parties

The last six weeks of the year fill up with school concerts, work parties and family visits. A quick "hold the 14th" text before the real invitation is worth it for a prime evening in December.

An office party needs the longest lead, because people plan time off and the caterer wants numbers early. For a Thanksgiving table or a Friendsgiving potluck, ask for replies ten days before so you know how big a turkey to buy and who is bringing which dish.

Quinceañera

A quinceañera is a formal event with a large guest list, a venue and often a ceremony. The court needs time for outfits and rehearsals, and relatives may cross a border to be there. That is why it gets a save the date months ahead and an invitation six to eight weeks out.

Replies come in three to four weeks before the day. Caterers and halls ask for a final count well in advance, and a seating plan for a room that size takes more than an evening.

When to send reminders

One invitation is rarely enough. Decide on the follow-ups the day you send it, so they don't depend on your memory in a busy week.

If you sent too early

Nothing is lost. An invitation sent two months ahead of a casual party just needs a second life: resend it about two weeks before, with one line saying replies are still open.

If you are running late

It happens to everyone. With less than two weeks to go, send today, and send a link, not paper. Follow it with a direct message to the guests who matter most. Cut the reply window to a few days and say why: "Short notice, sorry! Please answer by June 2." Expect a smaller turnout, and plan food for the people who said yes.

How a link buys back time

Every day an invitation spends at the printer or in the mail comes out of your guests' planning window. Blast is an animated video invitation with music that goes out as a link by text, WhatsApp or email, so it arrives the minute you send it and guests RSVP from it without an account. For a host who is already a week behind, that is the whole week back. Blast is free to create and send.

Create your invite

Is six weeks too early to send a birthday party invitation?

For a casual kids' party, usually yes. Guests put it aside and forget. If you have to send that early, because of a holiday or a venue booking, plan to resend it about two weeks before the party.

What is the latest I can send an invitation?

Two weeks ahead is the practical minimum for most parties. With less notice, send a link straight away, follow up one by one, and expect fewer guests than you would with a full window.

Should a save the date and an invitation both go out?

Only when guests travel or the event is formal, as with a quinceañera or a December party on a popular evening. For an ordinary birthday, one invitation in the normal window does the job.

Can I make and send a Blast invitation on the same day?

Yes. You pick a theme, add the event details and share the link by text, WhatsApp or email. There is nothing to print or mail, and guests can RSVP from the invite as soon as they open it.
